Distribution and Saving of Theses in the Theseus Electronic Library

Distribute the final version of your thesis in accordance with these instructions.

 

THESIS FOR THE SUPERVISING TEACHER

Submit your thesis to the supervising teacher as a file.

 

THESIS FOR THE CLIENT

Submit your thesis to the client in accordance with the agreed arrangements.

 

THESIS FOR SAMK

You have two options:

1. Publish the thesis online

When you choose this option, you save your thesis in the Theseus electronic library, and it will be available on the internet. If you have prepared your thesis for a company or an organisation, ensure that it also accepts electronic publication of the thesis, whereby your thesis will be accessible through search engines.

2. Submit a bound copy of the thesis to the library

When you choose this option, you submit a bound copy of the thesis to the library, and the users of the library will be able to read and borrow it. Furthermore, you save your thesis in the Theseus electronic library, from which the file will be copied to SAMK’s archives. Your thesis will not be available on the internet in the Theseus library. However, the abstract will be found in the library online catalogue. The student shall bear the cost of binding.

No matter which option you choose, follow the instructions below (steps 1 to 5).

 

STEP 1: CREATE A PDF FILE

If you publish your thesis on the internet, pay attention to data protection aspects. Check whether your thesis includes personal contact information which is not necessary. With the word processing program, you can replace addresses, telephone numbers, email addresses and dates of birth e.g. by typing XXXXXX.

The actual report of your thesis shall be a single PDF file. If files attached to the thesis cannot be converted into PDF files without major effort, they can remain unconverted.

You can convert your thesis from a word processor file into a PDF file in a number of ways:

  • Workstations at SAMK may provide a program for creating PDF files (e.g. CutePDF, PDF Creator or Adobe). You can also install CutePDF and PDF Creator in your own computer. In such cases, you can select e.g. “PDF” as the printer, and when you print, the file will be saved as a PDF file.

Name your file in the format surname_firstname.pdf. If the thesis has several authors, include all their names in the file name. Do not use characters å, ä and ö. When you have IT problems, please contact the IT Services.

 

STEP 2: PREPARE FOR SAVING THE THESIS IN THE THESEUS LIBRARY

The thesis to be saved must be the final approved version of your thesis. If the thesis has several authors, one of them shall save it on behalf of the others.

You can save your thesis in the Theseus library using the computer of your choice. It takes 10–20 minutes to save the thesis. You need to have your thesis as a PDF file, as well as the possible separate files attached to your thesis.

 

STEP 3: SAVE

1. Go to www.theseus.fi. Click In English and Save the thesis. Select Satakunta University of Applied Sciences.

2. On the page concerning copyright licence, select All rights reserved. However, if you want to give wider rights to others, you can use the Creative Commons licence. Enter your email address and click Jatka (= Continue).

3. On the next page, you will see the address for saving your thesis. The address will also be sent to you by email. Click on the address.

4. On the Haka page, click In English and check Remember selection for this web browser session. Select Satakunta University of Applied Sciences and click on Select.

5. On the SAMK page, log in with your SAMK ID and password. Click on Login.

6. Accept the terms of the service agreement by checking I have read the Service Agreement. Click Continue. Although the service agreement refers to consent to electronic publication, your thesis will be available on the internet only if you provide the library with a separate Consent to electronic publication KT03B.

7. Fill in the Submit form:

  • Enter your first name, surname and email address.
  • Enter other authors.
  • Enter the title and possible subtitle.
  • Select Satakunta University of Applied Sciences.
  • Select your degree programme.
  • Enter your specialisation option, if applicable.
  • Select year of completion, language and level of thesis.
  • Copy the keywords from the abstract of your thesis to Keywords. Separate them with commas.
  • Copy the abstract of your thesis written in the original language in Abstract in same language as thesis.
  • Copy the abstract in another language (if any) in Abstract in other language and choose language.
  • Make sure that there are no needless hyphens in the abstracts.
  • Click Continue.
  • Select the PDF file and possible attachments and click Upload files.
  • Check the data you have entered. If you want to amend them, click Change description fields.
  • Click Send the thesis at the bottom of the page.
  • You will receive a confirmation by email.

Video files should be in MP4 and audio files in MP3 format for web publishing. Submit these files on CD-ROM or DVD directly to the library.

 

STEP 4: SUBMIT A BOUND COPY OF THE THESIS TO THE LIBRARY IF YOU DO NOT WANT PUBLISH IT ON THE INTERNET

If you do not want to make your thesis available on the internet, submit a bound copy to the library. Read the instructions on binding. The student shall bear the cost of binding. The file you saved in the Theseus library will be transferred to SAMK’s archives, and your thesis will not be available on the internet. The Theseus library will send you a confirmation by email, stating that the thesis has not been approved to be published on the internet.

 

STEP 5: FILL IN THE FORM AND ASK THE LIBRARY TO MAKE AN ENTRY IN THE THESIS PASSPORT

Print and fill in the form Consent to electronic publication KT03B. If the thesis has several authors, each author shall fill in a separate form. Indicate whether you give SAMK consent to electronic publication of your thesis.

Submit the form to SAMK’s library. At the same time, ask the library to make an entry in your thesis passport. The library will check that you have saved your thesis in the Theseus library.

 

WHEN WILL THE THESIS BE AVAILABLE ON THE INTERNET?

If you have given SAMK consent to electronic publication, the library will check your thesis data as soon as possible and make it available online in the Theseus library. You will find your thesis at the internet address you received by email when saving the thesis.
